CATERING POLICY

Room Reservations:

Room reservations are made via the Room Reservation Form found on
the HMH Intranet. When reserving the Social Hall or the adjoining classrooms at 70 James
Street, allow 3 business hours before and 3 business hours after your event. Business hours are
defined as 9:00 AM – 5:00 PM, Sunday through Saturday. This time allows Nutrition & Food
Management to clean, rearrange and set-up the room while staff is present. Exceptions will be
made on a case by case basis. Requests for exceptions are to be made to David Hutchison,
Director, Nutrition & Food Management, via e-mail at david.hutchison@hmhn.org. Please note
that the kitchen at 70 James Street is not available for reservation, use or access. This includes
food preparation, food holding / storage and clean-up.

Room Set-up:

Room set-up is managed by Environmental Services. When completing the
online Room Reservation Form, you will need to select your preferred room set-up from the
following choices: Auditorium/Theater Style (chairs only facing front), Auditorium/Theater
Style (tables and chairs facing front), U shape, and Tables for Workshop/Meals (tables with
chairs around).

Table Covers:

Nutrition & Food Management has white paper rectangle table covers and
round plastic table covers available to order in Catertrax . Event organizers requiring linens can
arrange for linen rentals with Miller’s Rental in Edison, NJ.

Catering Service:

If your event requires catering services, a catering order should be
submitted in Catertrax, our online catering program. Standard catering service hours are 7:00
AM – 8:00 PM. If your event is for 30 or more people, then a minimum of 45 days notice is
required along with a consultation with a food services manager. Weekend events require a
consultation with a food service manager and a minimum of 45 days notice. For smaller
catering events, 4 business days notice is required. Catering events are approved on a first
come, first served basis. When reviewing your catering request, we consider the total number of
catering requests for the day and our available resources.

Food From Outside Sources:

If the food is obtained from outside sources (not JFK
Nutrition & Food Management), the event planner is responsible for the storage, preparation,
and serving of the food items. Nutrition & Food Management will not store or prepare food
from unapproved vendors per health code. The event planner is also responsible for cleaning
after outside catering events.
